The Fine Print: Terms and Conditions
Please read Before your stay
When booking a stay with us at The Poplar Patch you are agreeing to the following:
Booking & Payment
Your booking will only be secured when payment is received in full. You will be sent a confirmation email to your provided email address – please check the details and let us know if there are any errors. You must be over 18 years old to make a booking and to stay on site without other adults.
Cancellations and refunds
The timing of your cancellation will affect the refund you will receive:
- Under 1 week before arrival No refund
- 1-2 weeks before arrival 50% refund
- Over 2 weeks before arrival Full refund
If you choose to end your stay early no refund will be given.
Amendments
If you wish to amend your booking we will do our best to accommodate the changes. The earlier you let us know the better!
Any requests to change the dates of your booking within 2 weeks before arrival will be treated as a cancellation and rebooking.
Check-in and check-out
Check in is after 3pm and check out is before 11am.
On departure please leave the site as you found it with all utensils washed up and all rubbish cleared away. If the site is found in improper condition or you do not leave the tent by the required time you may be charged an additional fee. If we find any belongings left after your departure you are responsible for any costs associated with returning such items. We reserve the right to dispose of any belongings not claimed after a 14 days.
Access
Through booking The Poplar Patch you have exclusive access to the river and land fenced in around the tent. You will drive through a field to access the site – please always keep the gates shut and locked. You must not cross the river or boundary fences.
Occupancy
Occupancy of the tent must not exceed number agreed in the booking. We reserve the right to decline accommodation and/or ask you to leave the site at any time if your numbers exceed this.
Dogs
Well behaved dogs (2 maximum) are welcome at no extra cost but guests must bring their own bed linen. Dogs must be kept under control and you are responsible for picking up after your dogs on the site. There are often sheep in the neighbouring field so please be confident that your dog will be safe around them as there are the normal strict rules on the farm for dogs chasing livestock.
Day visitors
Please inform us in advance of any day visitors you may receive during your stay. You are fully responsible for ensuring visitors must comply with these same terms and conditions during their time on the site.
The Countryside
Along with the beauty of the surrounding countryside, there also come country noises and smells. At night you may hear animals, and during the harvest, farmers may be working in the surrounding fields. We have no control of this and cannot be held responsible for any disruption to your stay. We hope it adds to the experience of living the country life. There is an abundance of wildlife around the site. No firearms, traps or hunting equipment is allowed on site.
Noise regulations
We want you to enjoy the site to the maximum but please refrain from playing loud music as this disrupts the nature of the site.
Fire and smoking
There is a fire pit on site to use for campfire and cooking. No other fires, are to be started on the site and we reserve the right to impose a fire ban during periods of extremely hot weather.
There is to be no form of fire and no smoking inside the tent. Anyone who smokes outside is responsible for disposing of their cigarette butts safely and must not littler the area.
Damages
Losses or damages caused by you or your party may be charged for. Please report any breakages or damages as soon as possible. If anything on site is not working or faulty please inform us as soon as possible so we can attempt to rectify it for the rest of your stay.
Inappropriate or illegal behaviour
If you are found to be acting inappropriately or improperly (to be judged by us) or illegally we reserve the right to ask you and your party to leave the site before the end of the holiday and refuse any future bookings from you. There will be no refund.
Assumption of risks
Please be aware of any risks involved with using the equipment on site. Remember this is a natural and wild environment and be aware of the hazards this presents. The river water varies in depth, current and material underfoot and some river animals may be territorial. We accept no liability for any accident, injury, loss or damage sustained by any guests, visitors, animals, vehicle or personal effects however caused. It is your responsibility to supervise children and ensure their safety.
Relocation
If the site becomes unavailable or unsafe to use before your stay we will do our best to relocate to another area on the farm. If we cannot complete this relocation before your arrival and have to cancel your stay you will be given a full refund.
Force majeure
If the implementation of the agreement is entirely or partially, temporarily or permanently prevented due to circumstances which are beyond our control, we are within our rights to close the site and cancel the stay. In this case a full refund will be given.
In the event we are unable to host your stay here, we are not liable for any costs beyond the site booking payment.
